Using the Tuition Invoice Generator
How to create a tuition invoice
Add your business name, contact details and logo, then the family you are billing and the student or students the charges are for. Enter an invoice number, issue date and due date, and add a line for each class, lesson package or fee with a quantity and rate. Apply a discount and tax if needed, write your payment terms, then print or download the PDF.
What a tuition invoice should include
Your business name and contact details, a unique invoice number, the issue and due dates, the family being billed, the students the charges cover, one line per class or fee with quantity and rate, any discount, tax if it applies, the total due, and payment terms that say how and when to pay and whether a late fee applies.
How discounts and tax are calculated
Each line amount is quantity × rate. The discount, either a percentage or a fixed amount, comes off the subtotal, and tax is then charged on the discounted amount. A fixed discount can never be larger than the subtotal. Whether tuition is taxable depends on where you operate, so check with your accountant.
Common invoicing mistakes
Reusing invoice numbers, leaving off the due date and lumping several students into one vague line all lead to questions and slower payment. Number invoices in sequence, name the student on each line and state your late-fee policy before you ever need it.
